Administrative & Communications Coordinator
JOB SUMMARY:
Incumbent is responsible for performing a variety of complex administrative and communications duties in support of the body of work managed by the Assistant General Manager. Position requires a high level of confidentiality. Apply on the Woodinville Water District Website Here.
REPORTING RELATIONSHIPS:
This position reports to and receives supervision, instruction, and work assignments from the Assistant General Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provides confidential and complex administrative support for the department’s operations; coordinates a variety of activities, projects, and programs.
- Provides administrative assistance with contract preparations including researching the Municipal Research and Services Center (MRSC), bid openings, compiling data and preparing contracts for board meeting agendas.
- Demonstrates solid organizational skills and ability to multi-task within sometimes short timeframes and reliably meet given deadlines. Ability to maintain shifting priorities and multiple requests.
- Demonstrates excellent writing, editing, and proofreading skills and ability to produce detail-oriented and accurate documents, spreadsheets, and reports.
- Independently, or as part of a team, conducts and completes assignments to research, analyze, and produce well-written reports that provide executive-level background issue identification, description of regulatory implications and options, information on how the issue is being addressed by others, issue and solution analysis, and recommendations for how our District address the issue.
- Assists with scheduling trainings for District staff and booking travel accommodations.
- Creates maintenance and/or work orders for utility access, and other requests.
- Orders General office supplies and janitorial supplies.
- Maintains expert knowledge of Microsoft Office Suite, calendar application, and other relevant software.
- Writes, produces, and implements social media messaging including monitoring google alerts and other notifications.
- Prepares and coordinates printing and mailing of District materials including flyers, brochures, newsletters, and other program material.
- Plans, coordinates and attends community events to promote District programs including assisting Engineering with Project open-houses.
- Responds to a variety of inquiries, complaints, correspondence and messages from the public, other agencies and District staff.
- Participates and represents the District at the SPU Conservation Technical Forum Meetings.
- Assists with maintaining and updating District Web Page and Employee Intranet. Assists staff with providing relevant information and content on the District website.
- Assists with Public Information management by updating forms and documents.
- Participates in strategic planning efforts as they relate to Emergency Response Planning and Crisis Communication.
- Assists with updating Personnel and Procurement Handbooks, District Code and Emergency Response Plan as needed.
- Coordinates refreshments for board meetings, board retreats, staff meetings, staff recognition and staff trainings.
- Provides internal administrative support as needed.
- Provides backup support for General Administration including agenda preparation, distribution, meeting minutes, resolution management, and District codes.
- Assists in the preparation of department budget.
- Performs other related duties and special projects, as assigned.

Requirements |
MINIMUM QUALIFICATIONS:
Knowledge of:
- Computer hardware, software and peripherals utilized in maintaining customer accounts.
- Efficient and effective office practices and procedures.
- Departmental rules, State regulations, and policies on handling customer information and other sensitive information.
- Public sector experience preferred.
- Understanding of Washington Open Public Meetings Act & Public Records Act.
Skill in:
- Compiling detailed-orientated research.
- Establishing and maintaining cooperative and effective working relationships.
- Preparing clear and concise written letters, memos and reports.
- Managing competing workload priorities and meeting established deadlines.
- Maintaining confidentiality.
- Using various computer software including MS Office Suite and other software related to job duties.
- An expert-level knowledge of Microsoft Word, Outlook, Excel, PowerPoint, Visio, Publisher and Adobe.
- Must have a high-level of discretion when dealing with sensitive situations.
- Must be organized and flexible in order to accommodate change as priorities or special situations arise.
- Communicating effectively verbally and in writing with staff, co-workers, supervisors and the general public.
Experience and Education:
Any equivalent combination of education and experience which provides the applicant with the knowledge, skills and abilities required to perform the job. A typical way to obtain the necessary knowledge and abilities would be:
Experience:
Seven years of high-level administrative support working for a public agency.
Education:
- Bachelor’s degree in business administration, Public Administration, or related field.
- High school diploma or GED with major coursework in a discipline relating work experience.
License or Certificate:
Possess and maintain:
- Valid State of Washington Driver's License
- Proof of automobile insurance.
- Federal Emergency Management Agency - National Incident Command Systems (ICS) Training: ICS 100, 200, and 700 within a year of employment.
WORKING CONDITIONS:
Work is performed primarily in an office environment.
PHYSICAL REQUIREMENTS:
This position typically requires reaching, standing, sitting, lifting, walking, pushing, pulling, carrying, grasping, finger dexterity, hearing, seeing, talking and repetitive motions.
Light Work: Frequently lifting, carrying, pushing or pulling up to 10 pounds and/or occasionally lifting, carrying, pushing or pulling up to 20 pounds. Frequent walking or standing or sitting most of the time and using arms or legs to push/pull. |
