Executive Assistant
Northshore Utility District in Kenmore, Washington is seeking an Executive Assistant.
Summary of Duties: The incumbent is responsible for providing professional level administrative support to the General Manager, Board of Commissioners, and the Leadership Team, through a variety of complex and confidential administrative duties.
REPORTING DIRECTLY TO: General Manager

Work Schedule: Non-Exempt, Full-Time, Monday - Friday 8:00 a.m. to 4:30 p.m. or Optional 9/80 Schedule.
Example of Duties:
- Supports the General Manager by performing complex, confidential and professional administrative functions to include developing and responding to written internal/external correspondence, drafting public/legal notices and preparing for monthly staff meetings and bi-weekly board meetings.
- Supports the Board of Commissioners by preparing and distributing board packets, meeting announcements, notices, agendas, minutes, resolutions and attending evening bi-weekly board meetings.
- Serves as the District’s Public Records Custodian, manages District records correspondence, legal documents, inter agency agreements, contracts and proposals. Serves as primary responder for all public records requests. Responsible for initiating, executing, and archiving all requests in accordance with the Public Records Act.
- Coordinates records retention and disposition in conjunction with legal requirements.
- Manages and maintains calendar for the General Manager. Schedules meetings, coordinates, registers, and makes travel arrangements for conference attendance for the General Manager and Board of Commissioners within budgetary and policy guidelines.
- Types, edits, and proofs resolutions, correspondence, legal documents, inter agency agreements, contracts and proposals and coordinates legal counsel review.
- Provides support to public outreach in the areas of social media, website content management, digital asset organization, and promotional supply inventory management.
- Coordinates and manages internal and external District events, for example Staff BBQ, Award Luncheon, and community staffed events.
- Coordinates, design, layout, production and distribution of the District’s quarterly newsletter.
- Supports the Leadership Team as assigned.
- Performs other duties as assigned.

Requirements |
Minimum Qualification:
- Demonstrate experience in handling confidential information and sensitive data and maintaining confidentiality.
- Professional standards for business correspondence writing, grammar, spelling, and punctuation.
- Knowledge of Washington State Public Records Act (PRA).
- Knowledge of Washington State Open Public Meeting Act (OPMA).
- Knowledge of Washington State Archives Records Management.
- Proficient user of Microsoft Office Suite.
- Strong organizational, team management, time management, problem-solving, follow-through and customer service skills.
- Establishing and maintaining effective interpersonal relationships at all organizational levels with District employees, customers, and all stakeholders.
- Analyzing problems and identifying solutions, dealing tactfully and courteously with the general public and others seeking information about District functions and activities.
- Ability to be self-motivated and work independently with minimum supervision.
- Ability to meet deadlines and balance multiple or changing priorities while producing an accurate work product.
- Ability to multitask prioritize, track projects, and follow through with assigned tasks.
- Flexibility in accepting work assignments.
Experience/Education:
- Two (2) year college degree preferred.
- Six (6) years of experience in an administrative support role.
- Two (2) years supporting a Board, Council, or an executive preferred.
Licensing Requirements:
- Valid Washington State Driver’s License.
Other Requirements: Reliable and regular attendance, and the ability to work harmoniously with other employees.
WORKING CONDITIONS: Most work is performed in a typical office environment with some driving required. Nights and odd hours are required to attend bi-weekly board meetings. Occasional travel to meetings or conferences may be required. This position typically requires fingering, grasping, talking, hearing, seeing and repetitive motions. Exerting up to 30 pounds of force occasionally to move objects. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. The ability to communicate with employees, vendors, and external rate payers is required. The ability to travel within an office environment regularly and between site locations on an occasional basis may be required. |
